A document that is written in a meeting that talks about what happened and how things happened is generally known as minutes. In big organizations, this attendance helps the head to know those who are committed members or staff. It also serves the basic function of knowing how many actually attend meetings when compared with the previous ones. When inspectors come around, they also need to see it so as to be sure of how many workers the company has.

It is important to write what happened in the meeting but the details should be kept simple. It is the secretary's duty to state the items discussed, what was said about them and accomplishments made if any during the meeting or based on the last one. The contributions of each member should be summarized. If there was a vote or any other means by which a decision was made, that should also be noted there.

At the end of the meeting, the secretary goes back to his office to put things in order before the next meeting. If it is written in the English language, the secretary would have to make sure that every punctuation mark is correctly filled in before presenting again to the public.
